HTD INFORMATION AND
GUIDELINES
Congratulations on becoming part of the HTD team on FTP Team
Crib! The Head TDs are responsible for keeping the TDs on
their team organized and united towards the end goal of all
TDs; keeping the Ladder and Tournaments fun and fair for
everyone participating. Your job consists mainly of
coordinating the Tournament Directors on our Ladder so that
the tournament schedule runs smoothly and keeps the players’
options open for plenty of tournament competition. HTD's
are expected to host at least twice a week.
As a HTD your main focus is on the tournaments that run daily on the
ladder. HTDs should be regularly checking to make sure:

-The calendar is filled when possible

-TDs are not over spamming their tourneys

-TDs are putting the right rules on their tourney pages

-Specials such as Tournament of Champions are advertised by
TDs

-The TDs
are there to run their tourneys
-
-You
should make yourself available to assist all TDs, with
training, and any help or assistance they may require in
the smooth running of their tourneys.
New
tournament director applications:
When these come in please post a note on their application
noting if you approve of their application or not. If no,
please give a clear explanation as to why. If your yes vote
makes it the majority approved please process the application.
If an application has sat for two days and does not have notes
of approval or disapproval please go ahead and process that
application. Our league does allow td's to host elsewhere, it
is up to the applicant to check with any other league they
might be hosting in.
Monitoring
tournament pages:
While this league is not about censorship, we do have
guidelines that Cases makes us follow. Here is their guideline
that we must adhere to: Prohibited content includes, but is
not limited to: No graphic nudity – cartoon, drawn, etc. No
nipples. No bare butt’s – including “thong cleavage” views. No
overtly sexual content. No cartoons or drawings depicting
sexual acts. No profanity on any of the pages.
Should you
find that a page violates this guideline it needs to be
removed. If we violate this
rule we all lose the right to customize our pages and I don’t
think we want that. Most of the pages have been fine, but we
do need to remove the ones that are not!!
Emailing
the HTD group:
If you choose to use your personal email to mail instead of
using the td center, please make sure you create a group so
that all HTDS are in the loop on it. This also holds true if
you are answering a complaint; with everyone getting a copy,
we will all be on the same page. Communication is our friend!!
Also include the head admin email so they get a
copy of it. If you do not know how to create a group, ask,
someone will assist you.
Emailing a
TD or All TDs:
Please be careful when sending email to TDs that you don't
accidentally send to all TDs when you mean to send to just
one. All HTDs and the Head Admin should be copied with emails
sent to Tournament directors. If the circumstance warrants,
their file should also be updated.
Complaints:
If you are handling a complaint on a td or a player, make sure
you note it on their record. We need to have a paper trail in
case we need to refer to it in the future.
Rules:
Anytime a new td is added or our core rules change, HTDs are
responsible to make sure the tournament directors have the
rules correct. This will limit the confusion for the players.
Messenger:
Please make sure if you are online you make yourself
available. It’s a lot easier for players and TD’s to search
for someone visible, if they need something.
Training:
When training a new TD please make sure they understand
everything. New TD’s should run all SE's for 20
tourneys. Then they can be trained on a DE. When training a
DE, they need to do at least 3 tourneys with a HTD. Swiss
training also needs to be at least 3 tourneys with a HTD. Don’t
just watch them in lobby. Make sure you are watching them
report, especially in a Swiss. When they go to run a Swiss
you need to be watching how they swap players. Keep in
constant contact with them on messenger.
If you go
into a TDs Swiss tournament, please be aware that if two
people are inside the tournament, any changes made, will not
be made when the round is advanced. Always let a TD know that
you are inside their tournament before you enter, so that they
can exit. You should also exit before they re-enter so that
pairings are correct. Tournament directors are no longer
required to run free tournaments when they start out. They
can charge bux from the first tournament.
Idle Timer:
A TD must host a tournament at least once every 30 days. If
for some reason a TD gets to 30 days idle, they will be removed on the 31st day. No idle time letter will be sent, nor will they receive a warning.
It is their responsiblilty to be aware of their idle time in the Directors List. No TDs should be put on active exempt
without prior approval from the Head Admin.
Administering Tournaments for other TDs:
Be sure to make an entry in the TD’s file any time you manage
or take over a tournament for them and the reason you were
required to do so. Use the Administer Tournaments or Admin
Tourneys - Direct link on the HTD Administration page. Choose
the applicable tournament number and from that point on it’s
as if you’re administering your own tournament.
Monthly
Meetings for TDs:
You and your fellow Head TDs will be responsible for holding
at least one meeting per month for your TD Team. It is highly
suggested that you hold more than that whenever possible, but
one is the minimum requirement. The Head TDs should work
together and cooperate in coming up with a time that will work
best for most. If it is hard to coordinate a time that will
work for everyone on your team on a consistent basis then I
suggest holding the meetings on staggered days and times so
that everyone can participate at least part of the time. At
least 24 hours before each meeting, an E-mail should be sent
to your Head Admin announcing the day, time and place that the
meeting will be held so that the Head Admin may attend if
available. Meeting notes should be emailed to all TDs, HTDs,
and the Head Admin.
Communication/Meetings
within HTD Team: HTDs should be communicating with each
other on a daily basis, whether this is in IMs or e-mails. All
should be kept aware of what is happening on the league
pertaining to TDs or tournaments. Once a week a meeting should
be held with the Head Admin to update her/him on what is
happening on the league and any problems or questions you
might have.
Special Tournaments: It is part of the Head Tournament
Director's duties to make sure that the Battle of the Sexes
tournament, the Tournament of Champions tournament and the
Marathon weekend are held each month. Discuss among your HTD
team as much as necessary to make sure that these monthly
special tourneys and marathons are not forgotten. It is your
responsibility to make sure the hosting TD(s) know what they
are doing and what is expected of them. It is your
responsibility to make sure all rules are correct and all
monies are paid out. If the winners are to receive medals,
please make sure that the Head Admin has been advised. Posting
the winners and their team names in the forum would be nice
thing to do also.
Communicating with a TD while a Tournament is Running:
As a Head TD, you should never interfere with or try to take
over a tourney when the TD is there; take notes and handle
things afterwards. TDs are the bosses of their own tourneys
and NEVER should anyone try to mess with their authority in
the middle of a tourney. If something is truly a crisis,
handle it via private message or private chat. You can’t
afford to have a TD lose the respect of his/her player’s by
“scolding” in public. Never harass a Tournament Director. If
there is a problem in their tournament, (if it must be
addressed immediately) calmly page them and point out the
problem. If its something that can wait until the tournament
is over, that is preferred. Then point out the problem and
instruct how it should have been handled. Never should a TD be
harassed or made to feel stupid about something. You are not
bosses; you are guides and teachers.
We all have strengths and limitations. Capitalize on each
other's strengths; support each other's limitations. We do not
have weaknesses, since limitations are just things we are not
quite good at yet. Think in terms of each other's strengths.
Assign those tasks first. Eventually, you will gain knowledge
through experience.
Use each other as sounding boards. Become masters of the tasks
together. Learn from each other's experience. Most
importantly, COMMUNICATE WITH EACH OTHER. DOCUMENTATION IS
YOUR FRIEND!
